  • All FedEx shipments should be processed online using FedEx.com

  • Departments must set up a SpeedType in BFS for your FedEx charges. A valid SpeedType is required in FedEx.com to ensure your shipping charges are posted automatically to the correct chartstring.

  • Some campus departments may have specific internal workflow procedures for FedEx processing. Please consult with your department’s business or administrative coordinator.

  • Do not ship hazardous materials via FedEx. See the Hazardous Materials Shipping Program for more information.

Federal Express CycleStep 1 – To obtain a FedEx.com user ID, send an email to Accounts Payable Customer Support at [email protected] with the following information:

  • FedEx account – required only if department has an existing, separate FedEx account number
  • Employee Name
  • Employee ID – used as the FedEx user name
  • Email address – must be berkeley.edu
  • Telephone number
  • Department name

New users will be added to the UCB FedEx master account (unless a separate account number is specified, as outlined above). In approximately 3-5 business days, new users will receive an email confirmation directly from FedEx.com with an invitation to set up your user account and password.


Step 2 – Login to FedEx.com(link is external) with your User Name and password, and select “Create a Shipment”. Complete the online form by entering your recipient and shipment information. In the Billing Details section, you must enter a valid SpeedType in the "Your Reference" field (please refer to the sample FedEx Shipment Form). The SpeedType allows your shipping charges to be posted automatically to the correct chartstring.

Valid SpeedTypes are updated weekly in FedEx.com. Contact [email protected](link sends e-mail) if the SpeedType you are entering is rejected.


Step 3 – Print the shipping label and send the package.


Step 4 – FedEx transmits an electronic file of transactions weekly which is loaded to BFS – no wasteful paper invoices. 


Step 5 – BFS creates and auto-approves the vouchers.


Step 6– Voucher information is loaded into BAIRS. If an incorrect SpeedType is used, resulting in an incorrect chartstring in the General Ledger, you will need to process cost transfers via financial journals to correct the chartstring.


Step 7 – Payment is issued to FedEx according to our payment terms.   


Reports

Users can create transaction reports on FedEx.com for shipments processed in the past 45 days. Click on “Reports” in the FedEx.com menu for more information.

Prepaid labels for incoming shipments

If your department is paying the shipping costs on an incoming shipment from an address in the United States, you can create a prepaid label for this shipment as follows: login to FedEx.com, click on the gray “Prepare Shipment” tab, select “Create Return Shipment”, and enter the shipment information including the SpeedType.

In the “Package & Shipment Details” section, you have the option to print the label or you can email the completed prepaid label directly to your shipper.

FedEx.com does not allow prepaid shipping labels for international addresses due to customs requirements and security restrictions.

What If There is a Need for a Paper Airbill?

FedEx.com is the preferred method for processing shipments. If an exceptional situation requires departments to use a pre-printed or handwritten airbill, it is very important to include a FedEx account number and the SpeedType so that the invoice will be included in the electronic file that we receive from FedEx. 

If you receive a paper invoice for a non-online FedEx shipment, it should be paid via a department bluCard. The electronic invoicing and payment process does not apply with paper invoices. In addition, information such as the tracking number, sender name and address, and recipient information will not be available in the system on paper invoices. Shipment transaction reporting will be limited to the voucher information captured in BAIRS reports.

We can’t help you with most of that, but we have compiled every available grant database into one spot, with some directions on how to apply, and win.

What are small business grants?

Small business grants are funds given to a business by an organization for a specific purpose. Grants are available to small business owners during their startup phase, company expansion, and for research and development.

Unlike small business loans or credit cards, grants don’t need to be repaid, and they won’t hurt your business credit score.

But grants do come with restrictions—the money has to be spent in a particular way as outlined by the grant provider. And if you don’t play by the rules, there could be penalties.

The different types of small business grants

There are two main types of grants: government and private.

To find federal and state grants, you can browse government databases based on your location and industry. But these are often paid services that are poorly organized and outdated.

Corporations provide grants to small businesses as well. These private grants usually have less rigorous application requirements, but more competition for funds.

You can also apply for a foundation grant. This is another kind of private grant, but instead of a corporation, you’ll receive grant money from a charitable foundation.

Unfortunately, the internet hasn’t invented a one-stop database where you can search for every kind of grant. So we’ve compiled a list of the top government and private grant databases, complete with quick navigation links.

How to apply for (and win) a small business grant

If getting free money was easy, everybody would be doing it. The lengthy application process deters many business owners from applying for funding—but even if the pool of applicants is small, the competition is high. If you find a grant that seems like the right fit for your business, it’s important to stand out from the rest.

  • Pay close attention to the stringent requirements of each grant application before you start the process. Are you a minority-owned business? Check. Focused on a positive environmental impact? Check. In operation for over three years? Hmm. If you’ve only been in business for two, you’ll have to wait until next year. Don’t try to fudge the truth—you’ll end up wasting valuable time and effort.

  • Read over the grant application and provide complete and accurate information. An incomplete application may not make it through the screening process. Follow the instructions to the letter—if a section asks for a maximum of one page, don’t write one and a quarter.

  • Reach out to the grant officer and get a sense of what they’re looking for. What are their needs? Timing? Constraints? The more you know, the better.

  • A well-crafted business plan will be required. Make sure your business plan describes why your company will be successful, how the funding will strengthen your business, and how you’ll fulfill the specific goals of the grant. Federal small business grants

Federal agencies distribute several grants to small businesses in specific industries like scientific research, technology, and conservation. They also help fund nonprofit organizations, educational institutions, and local governments. Federal grants don’t cover the cost of starting up a business or operational expenses. Instead, they place a focus on research and development.

Shuttered Venue Operators Grant (SVOG)

The SVOG is a grant program administered by the Small Business Administration (SBA) that provides emergency financial assistance to eligible shuttered venues affected by the COVID-19 pandemic. Eligible venues include live venue operators or promoters, live performing arts organization operators, theatrical producers, relevant museum operators, zoos and aquariums who meet specific criteria, motion picture theater operators and talent representatives.

Applicants may be eligible for grant amounts that equal to 45% of their gross earned revenue, up to a maximum of $10 million. The SBA will start accepting applications for this grant on April 8, 2021, through their SVOG portal.

Grants.gov is the official access point for grants administered by government agencies. It’s comprehensive with a lot of information on the federal grant process. Challenge.gov is a list of creative, technical, and scientific competitions and prizes run by agencies across the federal government in order to drive innovation. FedEx Small Business Grant Contest

The FedEx Small Business Grant Contest provides a top prize of $50,000, along with funds towards print and business services. The contest will be reopening on February 16. If you’re a woman, veteran, or minority business owner, there are financial incentives funded by corporations, special interest groups, and the U.S. Small Business Administration (SBA) that aim to help underrepresented demographics.

Eileen Fisher Women-Owned Business Grant

The grant program by women’s clothing retailer Eileen Fisher awards a total of $100,000 in grant money to up to 10 female business owners each year. Women must make up at least 51% of your business’s ownership and leadership, and you have to be in operation for at least three years, earn less than $1 million in annual revenue, and be focused on environmental or social change.

The Amber Grant

Awarded once per month, the Amber Grant gives $10,000 funding to a female entrepreneur. Each year, one of twelve monthly grant recipients gets an additional $25,000 in funding. Applying is fairly straightforward—you just need to fill out a form online. However, there is a $15 fee to apply. The Amber Grant is run by WomensNet, an organization for female entrepreneurs.

US Department of Agriculture (USDA) Grants

The USDA offers a variety of grants for small businesses and nonprofit organizations operating in rural areas. They also offer a variety of business loans—so, if you don’t qualify for a grant, you may be able to borrow money at zero interest.

The Veteran Small Business Award provided by StreetShares Foundation awards up to $15,000 to veterans or spouses of veterans that own over 50% of the business. It’s mission is to inspire, educate, and support veterans as they start small businesses.

FedEx problems go beyond its split with Amazon

The problem for FedEx and other delivery services is that the consumers who are making more online purchases expect to receive their items quicker than ever. And they're generally not willing to pay for it.
The Amazon business that FedEx recently lost was some of the least profitable business the company handles. Because of its free delivery policy for Prime members, Amazon demands very low-priced delivery service from carriers who want to get a piece of its massive and ever-growing volume of shipments.
In fact, Amazon has never accounted for a large enough share of FedEx's revenue to be listed as one of its major customers. And analysts believe Amazon depends far more on other services, including the US Postal Service and UPS.
As it moves away from Amazon, FedEx is ramping up its residential delivery service, adding weekend delivery -- an expensive change to make while losing such a high volume customer. But with the Postal Service now making Sunday deliveries, FedEx had to respond in kind, said Helane Becker, transportation analyst at Cowen.
"When I started following FedEx 30 years ago, it was definitely the disruptor. Now they're being disrupted," she said.
FedEx(FDX)stopped carrying Amazon shipments as part of its express business in June, and Amazon endedits contract with FedEx Ground in August. FedEx Ground is the company'slower priced service, which delivers to homes and businesses. Earlier this month, Amazon(AMZN) told itsthird-party sellers to stop using FedEx Ground for their Amazon Prime shipments, saying it was concerned about reliability.
Other analysts aren't sure FedEx's new business model will be a good one. Getting packages delivered to homes is expensive, especially when online shoppers have come to expect the delivery at little or no cost.
Seven analysts have downgraded their recommendations on FedEx stock in the last three months. Adding to analyst concerns are the steps Amazon has taken in recent years to start its own delivery service, buying vans and contracting with drivers directly to make deliveries, rather than giving packages to FedEx or other carriers.
"The structural headwinds on eCommerce are starting to blow even harder," wrote Morgan Stanley analyst Ravi Shanker, who has a neutral rating on FedEx stock but a cautious view on investments in the sector. "If Amazon does launch a full third-party delivery service, like we expect, then [pricing] and competitive pressures will be even more significant."
FedEx officials insist they will see a turnaround by the spring as the company benefits from investments it made in its seven-day service. But they were brutally honest about the company's most recent results when talking to analysts Tuesday. CFO Alan Graf, described the drop in profits at FedEx as "horrific."
While Graf said FedEx fell short on some of the higher priced, heavier commercial shipments it had been expecting in the quarter, Fred Smith, the company's founder and CEO, said customer response for FedEx's weekend service is even better than expected. It handled 14 million packages just this last weekend. And even with the loss of the Amazon business in August, FedEx Ground revenue was up $173 million, or 3%, compared to a year ago. But Smith admitted they had underestimated the cost of expanding the service.
"Starting up to six- and seven-day network was very expensive for us," he said. "Clearly, we didn't do the greatest job of forecasting our cost."
Becker, who has a buy recommendation on FedEx shares, believes the company can adjust and make a profit on the growing level of online purchases. She said it has responded to these kinds of changes in the past.
"They started as an overnight letter company. But even before there was email, Fred correctly surmised that fax would overtake the overnight letter," she said. "You have to admire the tenacity with which he's continued to stay ahead of the curve."

$230,000 in small-business grants up for grabs in FedEx contest

Shipping giant FedEx is giving away $230,000 in cash grants plus $22,500 in FedEx services to 12 small businesses in a nationwide competition, officials said.

The FedEx Small Business Grant Contest, in its ninth year, is open to U.S. companies with fewer than 100 employees and operating for six months or more as of Tuesday. The grant applicants must have a FedEx shipping account.

Applications will be accepted until March 9 followed by public voting between March 10 and 24 to narrow the applicant pool to 100, said Jenny Robertson, FedEx’s senior vice president of integrated marketing and communications.

To apply, go to nwsdy.li/fedexcontest. The 12 winners will be announced on May 10.

More than 4,000 small businesses competed in last year’s contest.

"Running a small business isn’t easy, and this year, it’s been tougher than ever" because of the pandemic, Robertson said.

She said the top prize is $50,000 plus $7,500 in FedEx services, such as printing and shipping. At least one veteran-owned business will be among this year’s 12 winners.

United Parcel Service, Inc. (UPS) and FedEx Corp. (FDX) are two leading delivery services companies and main competitors to each other, at least in the public eye. However, to those following them closely, the two companies are quite different in their business models and strategies. Here we review and contrast how the two companies approach a variety of business challenges, such as online commerce, logistics, express services, and ground delivery.

While UPS is widely known for its domestic ground package delivery, FedEx is mostly recognized for its global air express freight. There are two main types of grants: government and private.

To find federal and state grants, you can browse government databases based on your location and industry. But these are often paid services that are poorly organized and outdated.

FedEx problems go beyond its split with Amazon

The problem for FedEx and other delivery services is that the consumers who are making more online purchases expect to receive their items quicker than ever. And they're generally not willing to pay for it.

Because of its free delivery policy for Prime members, Amazon demands very low-priced delivery service from carriers who want to get a piece of its massive and ever-growing volume of shipments.
In fact, Amazon has never accounted for a large enough share of FedEx's revenue to be listed as one of its major customers. And analysts believe Amazon depends far more on other services, including the US Postal Service and UPS.
As it moves away from Amazon, FedEx is ramping up its residential delivery service, adding weekend delivery -- an expensive change to make while losing such a high volume customer. But with the Postal Service now making Sunday deliveries, FedEx had to respond in kind, said Helane Becker, transportation analyst at Cowen.
"When I started following FedEx 30 years ago, it was definitely the disruptor. Now they're being disrupted," she said.
FedEx(FDX)stopped carrying Amazon shipments as part of its express business in June, and Amazon endedits contract with FedEx Ground in August. FedEx Ground is the company'slower priced service, which delivers to homes and businesses. Earlier this month, Amazon(AMZN) told itsthird-party sellers to stop using FedEx Ground for their Amazon Prime shipments, saying it was concerned about reliability.

Becker, who has a buy recommendation on FedEx shares, believes the company can adjust and make a profit on the growing level of online purchases. She said it has responded to these kinds of changes in the past.
