What to Say In a Thank You Note

Sympathy thank you noteA sympathy thank you note only needs to contain a simple sentence or two. The important thing is that you are acknowledging someone’s thoughtfulness. Your message can be brief as long as it is heartfelt.

Many people choose to include a short personal note using preprinted sympathy thank you cards. If you prefer, you can use a blank note card.  Thank you cards can be purchased from the funeral home, gift shops, department stores, stationery stores, or from online printing services that specialize in funeral products.

It’s always good etiquette to make your message sincere and personal. Your goal is to express gratitude for the kindness shown to you and your family. Whatever sentiment you include in your message, the person receiving your note will appreciate the time you have taken to say thank you. There is no need to worry about what to write. As long as your message is appropriate for the situation, you will say the right thing.

To help you get started on crafting what you’d like to say, we have included a variety of tips and examples.

Top Tips for Writing a Sympathy Thank You Note

  • Don’t worry if time has passed since the funeral. While it’s best to get your notes in the mail within a few weeks of the funeral, people will understand if it takes a month or two.
  • Ask for help if you need it. The number of thank you notes that need to be sent out can increase quickly. Don’t be afraid to ask family members to help.
  • Break the list into pieces. Tackling the entire list at once can be overwhelming. Breaking the task up into manageable pieces can make it easier to get started.
  • Your signature can include other family members. If you’re sending a sympathy thank you note to someone on behalf of your entire family, signing it “the family of …..” is perfectly acceptable. This allows the sender to encompass the gratitude of all members of the family. If sympathies have been extended primarily to you, it’s fine to simply sign your own name.
  • Include your last name or the full name of the deceased in the note. Be sure to include your last name when thanking those who aren’t close friends (for example, the office or workplace of your loved one). This is especially important if you are a bit late (or very late) in sending out your acknowledgments.
  • Short but meaningful is the goal. A simple 1 to 3 sentence thank you is all that is needed as long as it is personal and comes from the heart. You can purchase sympathy thank you notes that come with a preprinted message or blank note cards for your message. Even if you use preprinted notes, you should add a brief personal message.

Sending flowers to acknowledge the loss of someone is one of the most common expressions of sympathy. You will likely have a number of thank you cards for funeral flowers to write. Below are some examples of things you might say.

What do I say in a sympathy thank you note for a cash donation?

It is appropriate to send a thank you note if someone has made a donation in the deceased’s name. While it is considered bad form to state the dollar amount that is given, there are other ways express gratitude for cash gifts appropriately. You may also find yourself receiving a cash donation. Acknowledging cash can be a little awkward but there are many ways to say thank you. Below are a few suggestions to help:

  • Thank you for your kindness in remembering _________ with your donation. Your thoughtfulness and generosity are much appreciated by the entire family.
  • We are so appreciative of your generosity. Your donation in honor of ___________ will help fund the grave marker. Thank you so very much.
  • It was so kind of you to make a donation to the family in honor of _____________. We are pleased to pay it forward by sending a gift to the ______ charity, which was dear to _________’s heart. Thank you for your generosity and kindness.
  • Your donation in honor of __________’s memory touched us deeply. Thank you for your generosity and thoughtfulness, and may God bless you.

Addressing your acknowledgments

Thank you notes should be sent to people at their own address. It is generally not proper to include a person’s name on a card and send it to an address where they do not live unless it is addressed something like this: “Joe Smith, c/o Sue Anderson.” You should only do this if you cannot locate an address for the recipient and are sure that the person you are sending it “in care of” is willing to deliver it to the recipient.

What about the return address? If you’re a woman whose spouse has died, you are still “Mrs. John Smith,” and it is perfectly proper to use that title in your return address. “Sally Smith” is acceptable too. “The Smith Family” also is fine, if you’re writing on behalf of your family.

Should you use a preprinted return address label that includes the name of the deceased? Although good etiquette recommends a handwritten return address, using a preprinted label is a call only you can make. If you feel comfortable with it, or feel that it honors the memory of your loved one, then, by all means, use your “John and Sally Smith” address label.

Handwritten or Printed

There are 2 types of letterpress Thank you cards we offer. The first and most popular option is to have a printed flat card with a minimal amount of text, allowing plenty of space for you to handwrite a personal message. This is the traditional way of writing Thank you cards and in some circumstances is the only appropriate option. These cards are great for thanking your guests for their presence on the day and any gifts they may have given as it allows you to personalise each card.

The second option is a Thank you card printed with a thank you message. These are great for couples who have busy schedules or long guest lists! They are a lovely way of saying Thank you without hand-writing individual notes to every guest.

What to include in your Message

There are a few things we recommend including as a starting point in your Thank you card message. This can be a great starting point for crafting the perfect wording.

Thank guests for attendance

One of the key points we like to include on thank you cards is thanking guests for attending - without them your wedding would not have been the same. If guests have traveled long distances or made a particular effort to be there be sure to make note of this.

Thank guests for their gift

Whether you had a gift registry or wishing well, be sure to make a point to thank your guests for their generous gift. If possible mention the gift that was given (no need to note the monetary amounts). Guests will enjoy knowing that their gift has been appreciated.

Make it personal

Mention the moments that made your wedding so special - was there something unforgettable during the ceremony or speeches? Was the dancing over the top? Make note of this in your thank you card to remind your guests of your shared experience.

Final Tips

Be timely with your thank you notes. Most people expect a reply within 2-3 months. We recommend ordering your Thank you cards at the same time as your Invitations to ensure you can send your Thank you cards in a timely manner following your wedding.

Write notes to everyone, even if they didn’t give a gift. You might also like to send thank you messages to guests who weren’t able to attend (but who sent well wishes) or suppliers who made your day extra special.

Why is it important to say thank you? There are many reasons, but first and foremost, writing a thank you note to a church congregation shows gratitude for a donation or time given to the church. This show of gratitude reminds members of the value their gift had and inspires more giving.

It's also just the right thing to do. The Bible, (1 Thessalonians 5:18) tells us to "give thanks in all circumstances; for this is God's will for you in Jesus". Thus, you are responsible to thank those who help the church.

There are many more important reasons churches should give thanks, especially in written form. One major consideration is tax concerns. Churches are tasked with being good stewards of their resources, and that includes being mindful of your members' donations and wealth. Your members have families they need to support. By giving them tax documentation included with your thank you note, you can ensure members can claim a tax deduction for their gifts. This safeguards their resources.

How to Write a Thank You Note To a Church Congregation

Unsure how to write a thank-you note to your congregation? Afraid you won't be able to deliver the prose that eloquently conveys your message of thanks?

Don't worry. At Vanco, we've worked with tens of thousands of churches to grow donations and found a successful thank you note to a church congregation doesn't require flowery language or masterfully crafted sentences.

In fact, simply taking the time to send a thank you note is all many members want. You'll be surprised how many nonprofits don't give thanks for donations. One study conducted by Bloomerang, found that only 34% of nonprofits sent a physical acknowledgement letter through the mail. This lack of acknowledgement, whether it is taken as ingratitude or not, can have a huge impact on future donations. Bloomerang found that donor retention rates in 2019 were three times higher for repeat donors than first-time donors. This means it's imperative nonprofits, like churches, nurture the generosity of those who give, especially those who give routinely. 

As long as your thank you letter to church congregation members is sincere in its gratitude, it will do its job.

To help you create a sincere thank you note, we detail a few guidelines that are imperative, yet easy to follow. We also created a few examples you can use as templates for your own thank you notes.

Be Genuine and Friendly

It can be difficult to write thank you letters when dealing with a congregation.  There are so many of them. Before you start, pray for some inspiration to express your thankfulness in writing. 

Reflect on the action given by the congregation that sparked off the drafting of a thank you note. As you start writing, inspiration will follow and the words will flow. 

Be Personal, Emphasize Your Relationship

Where possible, make sure you address the letter to the person. Vagueness is a no no, as in "Dear Members" or "Friends".  You would not be happy to receive a thank you note with this generalization, now would you?

Use their names where possible, this will convey that you care and are a friend as well as their leader. 

The language of your thank you should reflect the relationship you have with the person you are writing to.

For example, if you normally address your church member by Mr. Tutt, then use that form of greeting.  Alternatively, if you are on a more friendly basis, and call them Malcolm that is how you should address the thank you note. 

By communicating with these small personalized details, it shows that you have taken care and thought into writing your thank you note.

“Thanks for helping yesterday” as opposed to "Thank you for helping with the distribution of Bibles yesterday" sounds better, doesn't it?

But, by thinking deeper, you can go further. Try saying "Thank you for helping with the distribution of Bibles yesterday, this helping hand brought the written word to many".  It shows how grateful the church is to that person and how it impacts the church itself.   

There are no rules cast in stone. Write as if you are speaking how you normally do, to that person or the congregation as a whole.  

Keep the Congregation Informed

Recount how their donation or help has affected the church. This will inspire your congregation to repeat their donations in the future.

Congregation members want to be kept informed on how they have made a difference. 

Thank You Note Etiquette

Thank you notes should go out within 48 hours of receipt of the donation or action.

Make sure you do not even hint at further donations! Remember this is purely a way of saying thank you for a previous action or donation. Your thank you note should reflect only gratitude and nothing else.

Using Templates

There is nothing wrong with using templates.  But, templates are there only as a framework.  Change the template to suit each thank you note and the communicating style of the church.

Change templates each time you send a thank you note. This ensures your letters are different each time. You don't want a church member getting the same letter over and over again.  This could be off-putting and lead to disinterest on the part of the church member.

There is nothing as distasteful as receiving a poorly-worded letter that you obviously can see was a copy and paste work. 

Include Pictures and Photos

A picture can speak a thousand words! So, when creating thank you notes, it is a good idea to include some photos or pictures. Whatever you thanking the congregation or person for a picture will grab a reader's attention.

It also helps support the donation of time or money and shows concrete evidence that the gift has been used correctly and put to good use.

Include a Poem

The power of words should not be overestimated. It is important to vocalize your gratitude regularly to your congregation. You can find some creative ideas to say thank you here.

To raise and lighten up the spirits of a large congregation, you could create leaflets to be handed out at church. These could include, a poem, inspirational Bible verses, or a quote to raise and lighten up their spirits. Here are some examples to thank volunteers.

It's Important to Have a Signature

Make sure that the letter is signed by you personally and not by an arbitrary person who is helping you with your admin work.

By doing this you are showing your congregation community that their unselfish donations in whatever form it is, are meaningful and important.

The first example of a well-written thank-you note is to an individual church member and mentions what you’re thanking the person for and the effect their contribution has made.

You have definitely raised the level, and your guidance of the team has certainly been exemplary. We are definitely reaping the benefits from your ministering, and we could not have done it without you.

The second example, is a letter addressed to the whole congregation and has a personal tone to it as well. It also has a place for photos to engage the congregation.

My father, younger sister and myself have all served in the military. Starting with my father who served in the U.S Army (2006-2011) and did two tours in Afghanistan as a combat radio operator. His sacrifice has given way to his children and grandchildren to use the benefits earned in his service for us to have a better future. My younger sister also served the United States Army (2013-2020), first in the national guard as an honor guard for five years and did two years of active duty station at Fort Carson, Colorado. For me, I joined the United States Air Force (2011-2012) and was station at Lackland AFB, San Antonio, Texas and was in training as a military police. We all served individually for this country but we are united because of our service. We have a bond amongst one another that goes beyond family. We are all veterans who have worked hard and served only in sacrifice for another. My mother and older brother have also sacrifice as our family members and we show them just as much honor and respect as loved ones burden with family being in the line of fire for the country. I think I can speak for my dad and younger sister as well as me that I wouldn't change one thing about serving our country. Also to close friends who have also served, some who are dearly departed, I want to give thanks to you all. My brother and sister in arms forever. And thanks to the family members who supports us through and through. God bless America.
